Faculty & Staff
Classroom assignments are handled through the Registrar's office.  If a classroom is to be used outside of regularly scheduled class times, initial approval must be granted through the Registrar's office. 

Conference, lounge, dining and event facilities are scheduled through the Plant Operations Department. To aid in planning a meeting or event, check for upcoming events on the Campus Calendar.

To make a resevation request, complete the  Faculty & Staff Reservation Form  and email to reservations@westminster-mo.edu .  If the room or facility is available you should receive an email confirmation within 24 hours.  If you do not receive an email confirmation, please call the reservation coordinator at 592-5282.

Students
Westminster students may reserve conference, lounge, dining and event facilities for school related activities with the approval of a faculty/staff sponsor. Check the Campus Calendar to avoid scheduling conflicts.

Outside Organizations and Individuals
Representatives of any organization or individual interested in facility rental must make initial inquiry for date clearance and use of a college facility through the reservations coordinator at reservations@westminster-mo.edu or 573-592-5282. 

If approval is granted for an outside or community event, the reservation coordinator will provide the event coordinator with written confirmation binding both the college and the individual or organization to the mutually agreed- upon date and rental fee as well as the policy regarding the use of the facility, equipment and other college services.

Policy
Policy for Westminster College facilities is set according to a group's status in relation to the college.  Campus Groups are identified as being members of the student body, faculty and staff directly related to the campus community.  Campus groups are bound by facility agreements and are eligible for discounted rental rates.

Outside Groups are identified as community organizations or individuals not being directly related to Westminster College academics, clubs or organizations.  Space use arranged by outside groups is subject to rental and deposit fees, liability clause, and signed agreement of appropriate facility use.

Catering
Any event or meeting taking place in Mueller Leadership Hall must be catered by campus food service Fresh Ideas.  Contact Fresh Ideas at 592-5352 or freshideas@westminster-mo.edu for menus and pricing.  Events taking place in Mueller Student Center and all other facilities may be catered by Fresh Ideas or an outside vendor. 

Groups hosting an event where alcohol beverages will be served must obtain a letter of solicitation for the approved vendor from the College Business Office 573-592-5225; students representing Greek organizations, contact the Director of Residential & Greek Life 573-592-6047; approved campus clubs or committees within SGA, contact the Director of Student Activities 573-592-5243.  The letter  of solicitation will go on file with the State of Missouri, and grants the third party vendor a license to cover a specific event.  Third party vendor letters need to be requested at least two (2) weeks prior to the events date. Click here  for more information on Third Party Vendors.

Audio Visual Requirements
Use of Westminster College audio and visual equipment must be arranged through IT Services.  Additional fees may apply.  Call 573-592-5169 or email help@westminster-mo.edu for more information.

Facility Rental During the Academic Year
During the academic year, Westminster College facilities are reserved first and foremost for instruction related activities and campus facilities and grounds are for the primary use and enjoyment of students, faculty and staff.  College facilities are made available to outside individuals and community organizations after campus groups have been given sufficient time to plan events and secure facilities for their needs.  Academic calendars for next year are not firm until March 1.  Outside groups may not confirm reservation dates that fall in the next academic year until after March 1 of the present year.

Facility Rental During the Summer
The summer facility rental period runs from June 1 through August 1.  Contact the Plant Operations Department at 573-592-5282 for availability of facilities and lodging.
